Refund Policy

This Refund Policy explains when you can get money back for payments made for the MenuCost platform  available at menucost.cloud . It is part of our Terms and Conditions. Words with capital letters, such as Service, Account, Subscription, and Free Trial, have the same meaning as in the Terms and Conditions.


1. Try before you pay

Every new Account gets a 7-day Free Trial with full access to all MenuCost features. You can cost your Recipes, add Ingredients, Labor, Packaging, and Overhead, and run your reports before you pay anything.

You do not need a card to start the trial. This means:

  • We give this full free trial so you can decide if MenuCost is right for your business before you pay.
  • You are never charged automatically when your trial ends.
  • You only pay if you choose to buy a Subscription.

If you do not subscribe, your access simply stops at the end of the trial. There is nothing to cancel.


2. Subscription payments

Because you can test the full Service for free first, Subscription payments are not refundable once they are made, except in the cases listed in Section 3.

This applies to:

  • Your first Subscription payment.
  • Renewal payments.
  • Payments for Additional Users.
  • Any unused part of a billing period, including when you cancel, stop using the Service, or delete your Account before the period ends.

We do not give partial refunds or credits for unused time.

3. When we will refund you

We will give you a full refund of the affected payment in these cases:

  • Duplicate charge. You were charged more than once for the same Subscription or the same billing period.
  • Wrong amount. You were charged a different amount from the price shown to you at checkout. In this case we refund the difference.
  • Charge after cancellation. You cancelled before your renewal date, but you were still charged because of an error on our side or our payment provider's side.
  • Service not delivered. You paid, but you could not access the Service because of a problem on our side, and we could not fix it within a reasonable time after you told us.
  • Required by law. A refund is required under the law that applies to you. See Section 10.

In any other case, a refund is at our sole discretion. If you have a special situation, please write to us. We read every request.


4. Annual renewals

MenuCost Subscriptions are billed in advance, once a year. Your Subscription renews automatically at the end of each billing period, and your payment method is charged for the next year.

If you do not want to renew, cancel before your renewal date. Renewal payments follow the same rule as all other payments and are not refundable once made.


5. Additional users

You can add team members to your Account at the per-user price shown on our pricing page. Each Additional User is billed on the same annual cycle as your main Subscription.

If you remove an Additional User before the end of the billing period, we do not refund the unused part of that user's fee.

6. Cancelling your subscription

You can cancel at any time from Account Settings > Subscription in the app.

  • Cancelling stops your next renewal. You will not be charged again.
  • You keep full access until the end of the period you already paid for.
  • Cancelling does not create a refund for the current period.

Before your access ends, you can export your data from the Reports tab as an Excel workbook. We recommend you do this so you keep a copy of your Recipes and costing data.

7. How to request a refund

If you think you qualify for a refund under Section 3, email us at contact@menucost.net within 30 days of the charge. Please include:

  • The email address of your MenuCost Account.
  • Your order number or receipt from the payment email.
  • The date and amount of the charge.
  • A short reason for your request.

We aim to reply within 2 business days. We will tell you if your refund is approved, and if not, why not.


8. How refunds are paid

Payments for MenuCost are processed by Peddle, our payment provider and merchant of record. Approved refunds are sent through Peddle to the same payment method you used to pay.

  • Refunds are made in the same currency you paid in.
  • A full refund includes any VAT or sales tax that was charged on that payment.
  • Your bank or card provider usually takes 5 to 10 business days to show the refund. This time depends on your bank, not on us.
  • We are not responsible for exchange rate differences or bank fees charged by your own bank.

When a Subscription payment is refunded in full, the Subscription for that billing period ends, and access to paid features stops.

9. Chargebacks and payment disputes

If you think a charge is wrong, please contact us first. Most billing problems can be fixed quickly by email, and faster than a bank dispute.

If you open a chargeback or dispute with your bank, we may pause your Account while the dispute is open. If the dispute is decided in your favour, your Subscription for that period ends.

10. Your legal rights

Nothing in this policy removes any right you have under consumer protection law that applies to you and cannot be excluded by agreement. If such a law gives you a right to a refund, we will follow it.

MenuCost is built for businesses. When you buy a Subscription, you confirm that you are buying it for your food and beverage business.

11. Changes to this policy

We may update this policy from time to time. The version number and date at the top of this page always show the current version. Changes apply to payments made after the updated policy is published. They do not apply to payments you made before.
