Each catering quote has its own target margin and confirmed price. The recipe cost is the same regardless of the client — what changes is the margin you're targeting and the price you negotiate. A corporate client paying a premium and a school canteen contract on a tight budget both start from the same recipe cost. No. You can duplicate an existing quote for the same event and update the date and any items that have changed. For a fixed weekly contract, the quote structure stays the same — only the ingredient costs change over time as prices fluctuate. When an ingredient price updates, re-running the quote shows you whether the contract price still delivers your target margin. This is how you catch a profitable contract turning marginal before it becomes a loss.

MenuCost quotes are editable at any point before confirmation. If a client adds 15 guests the day before, update the quantities and the total cost and revised quote price recalculate immediately. If a menu item is substituted — for example, switching lamb to chicken due to availability — swap the item in the quote and the cost line updates from the replacement recipe's actual cost. Last-minute changes are fast to process because the cost data is already built into the recipes.

Delivery and logistics costs can be included in two ways. If delivery is a fixed cost per event regardless of distance — for example, a standard delivery charge — it can be added as a line item in the catering quote directly. If delivery varies by distance, the most practical approach is to build a per-kilometre or zone-based delivery cost into your overhead figure so it's distributed across all events. Some catering businesses also create a "delivery" recipe item with a cost per event that can be added to any quote when delivery is required.
